1. Who we are
Nurturers Nest Clinic is a registered nursing practice based in South Africa. In this notice, "we", "us" and "our" mean Nurturers Nest Clinic and our staff.
2. What information we collect
To provide your care, we collect:
- Identifying details — name, ID/passport, date of birth, contact numbers, email
- Health information — pregnancy and birth history, medications, allergies, examination findings, scan reports, lab results
- Family information — your partner's contact details, next-of-kin, and (after birth) your baby's details
- Payment information — invoices, medical-aid details, payment method records (we never store full card numbers)
- Use of this site — anonymised analytics to understand which pages help and which don't
3. Why we collect it
- To plan and deliver your clinical care
- To meet our legal obligations as a healthcare provider
- To bill you and reconcile with medical aids
- To send you appointment reminders and care-related messages
- To improve our service and the website
4. Who we share it with
Your information is shared only on a need-to-know basis with:
- Doctors, sonographers and specialists involved in your care, when you've asked us to refer or consult
- Your medical aid, only when you authorise a claim
- Pathology and diagnostic labs we use for routine tests
- Service providers we trust to help us run the clinic (hosting, payments, communications) — each under contract to keep your data confidential
- Authorities, when required by law (a small number of conditions are notifiable to the Department of Health)
We never sell your information. We do not share it for marketing purposes.
5. How we keep it safe
- Servers and backups are in South Africa, encrypted at rest
- Two-factor authentication on all clinic staff accounts
- Access is role-based — staff only see what they need for your care
- Regular security reviews and staff training
- Physical files are kept in a locked room with audited access
6. How long we keep it
South African healthcare guidelines require us to keep adult medical records for at least six years, and minors' records until they're 21. We keep yours according to those rules and then securely destroy them.
7. Your rights under POPIA
You have the right to:
- Ask us what information we hold about you
- Correct anything that's wrong or incomplete
- Ask us to delete information that we no longer need to keep
- Withdraw consent for non-essential processing (like marketing)
- Lodge a complaint with the Information Regulator
To exercise any of these, email our information officer at privacy@nurturersnest.example. We respond within 30 days.
8. Cookies on this site
We use a small number of cookies for the site to work and to understand which pages get used. We don't use advertising cookies. You can decline non-essential cookies via the banner that appears on your first visit.
9. Children's information
Once your baby is in our care, their information is held under your parental consent until they're 18. You can request access to it at any time.
10. Changes to this notice
If we update this notice, we'll show the new date at the top and message anyone whose data is affected. Material changes go to your registered email or WhatsApp.
